Agenda Item:  Executive Nominations                        Presenter: Kandace Forward

Discussion: Kandace asked if we needed to nominate Adam Bower for Vice President prior to the AGM, the council advised this could wait till the AGM.

·         Kandace advised that we will be welcoming a few new directors and officers.

·         Allie Ashfield would be taking over for Robin Joost as the new treasurer, Ali is the current finance manager for the Fisheries Museum and brings many years of experience

·         Jane Zwaggstra from Books N More services will be joining as a new director.

·         Brad Boutilier from Lunenburg Shipyard will join as a new director.

·         Robin Joost will step down as treasurer but remain on as a director.

 

 

Agenda Item: Year end Financials                                                                    Presenter: Martin Ruiz Salvador

Discussion: Kandace and Martin met with Lisa Mutch from Belliveau Veinotte to review the year end Financials prior to the council meeting .

·         The council had a few questions about the financials but they were approved as they stood for the upcoming AGM scheduled for February 15 at 6:00 at the Old Fish Factory

Agenda Item: Campground Lease                                              Presenter: Kandace Forward

·         Kandace and Martin provided an update that they would be signing the lease on behalf of the LBOT with the Town of Lunenburg On February 15. Jamie Myra would not be available due to a health matter, but the deputy Major Stephen Ernst and Jamie Doyle Would d so on his behalf and we will wait for a photo op in the future.

·         Kandace reconfirmed that this was a 1-year lease extension with the requirement to pay $20,000 by Oct 31 ,2024.

Agenda Item: Subcontractor T4A                 Presenter: Kandace Forward

Kandace brought forth the advisement of Lisa Mutch from Belliveau Veinotte on the matter of providing the Contractors Larry and Ty that had completed the washroom renovations a T4A. This recommendation was based on:  

When to issue If you are a payer (such as an employer, a trustee, an estate executor/liquidator, an administrator, or a corporate director), you must issue a T4A slip if any of the following apply: You deducted tax from any payment or If the payment is not included on the exceptions list , the total of all payments in the calendar year was more than $500 (under the CRA administrative policy)One of the items that need to report on a T4A is: Fees or other amounts for services

·         It was decided that we would not go back to do this but moving forward we would follow this recommended procedure.

 

Agenda Item: Lunenburg /Queens Business Awards               Presenter: Kandace Forward

·         Kandace advised that part of this collective would be introducing a new business award gala. I had been asked by the collective to have other volunteers from our organization to participate in the logistics and the planning of this event. It was decided to defer till next meeting until we had welcomed our new directors to get more involvement.

 

Agenda Item: LIFT                                                                Presenter: Kandace Forward

·         Kandace Advised that she applied and was granted a $5000 scholarship through GMIST and COADY institute at St. Francis Xavier University for the LIFT program, which would see her travel back to Newfoundland May 1 till May 10for the in-person portion. This program will allow Kandace and community partners to put together a Marine Tourism marketing and tour plan for the Lunenburg working waterfront. The council approved of this initiative.  

·         Kandace Advised that she will forward the office phone to her cell and respond to emails in the evenings when her work day was done.

 

Agenda Item: CEBA loan Presenter: Kandace Forward

·         Kandace and Martin advised that RBC have approved the refinancing of the CEBA loan

·         This was set at $40,000 forgiving the other $20,000

·         RBC bank prime plus 3.28% per annum

·         Payments would be 862.66 blended payment per month starting March 30,2024

·         Last payment due Feb 28,2029

·         The council said they hope to have this paid off by the end of the fiscal year if revenue permits
